Upcoming Billing System Improvements and Invoice Handling Changes

This summer, we will be upgrading our billing system as part of our ongoing effort to improve account management, billing accuracy, and the overall client experience. As part of this upgrade, invoices will become locked once they are issued. This means that after an invoice has been generated and sent, it can no longer be directly edited or changed. This is a billing system change designed to improve invoice integrity and maintain clearer accounting records. Because of this change, there will be some updates to how we handle late fees and billing extensions.
Late Fees
If a late fee is applied to an invoice, we will no longer be able to remove the late fee directly from the original invoice. When appropriate, we may instead issue a credit toward the invoice in the amount of the late fee. This credit will reduce the balance owed while allowing the original invoice to remain intact for accounting purposes.
Billing Extensions
Billing extensions will also be handled differently. When an approved billing extension requires a new due date, we may need to issue a replacement invoice with the updated due date and cancel the original invoice. This means clients may occasionally see a newly issued invoice followed by a cancelled invoice for the same service. This is normal and does not mean the service was billed twice. The cancelled invoice will no longer be payable, and the newly issued invoice will be the active invoice to pay.
What Clients Need to Know
There is no action required from clients at this time. Your services, renewal dates, and payment methods are not changing as part of this announcement. The main change is that invoice adjustments will be handled through credits or reissued invoices rather than direct edits to existing invoices. Our support and billing teams will continue to work with clients on eligible billing questions, late fee reviews, and approved billing extensions.
